The Role

The Project Coordinator plays a vital behind-the-scenes role in our modular construction process. While Project Managers focus on client-facing activities and internal alignment, you'll be the bridge to our external collaborators—engineers, permit authorities, surveyors, energy consultants, and transportation providers.

What You’ll Do

Design & Engineering Support

  • Coordinate third-party consultants (surveyors, geotechs, energy modellers, structural engineers)
  • Submit and track permit applications and revisions
  • Monitor timelines for zoning reviews, overstamps, energy calculations, and site engineering
  • Maintain documentation required for IFC (Issued for Construction) milestone delivery

Production Coordination

  • Track readiness of drawings and specifications for the manufacturing floor
  • Schedule internal reviews between Design, Manufacturing, and Install teams
  • Ensure pricing and specifications for custom elements are collected and documented
  • Help prepare Pre-IFC and Pre-Install packages for internal team distribution

Logistics & Assembly

  • Arrange third-party shipping and crane services for modular deliveries
  • Coordinate road closure permits, customs/export documentation, and transport scheduling
  • Track shipping readiness, communicate updates to internal and external teams
  • Coordinate foundation readiness inspections and site logistics support

Administrative & Project Tracking

  • Maintain up-to-date project schedules and milestone tracking
  • Assist Project Managers in project documentation, status reports, and invoicing tasks
  • Record and update task progress in Wrike (project management software)
  • Ensure all tasks tied to external vendors are completed on time and budget

What You Bring

  • 2+ years experience in project coordination or logistics (preferably construction or manufacturing)
  • Familiarity with permitting, zoning, or municipal processes is an asset
  • Excellent task management and organization skills
  • Strong written and verbal communication—especially across different stakeholders
  • Able to manage multiple projects and priorities simultaneously
  • Experience with project management tools (e.g., Wrike, Asana, MS Project)
  • A collaborative, no-drama approach to working in a fast-paced environment
